Title: Events Coordinator / Receptionist (Full time)
Reports to: Events & Operations Manager
Responsibilities & Duties include but are not limited to:
Events Coordination
- Answer all enquiries (online, telephone and walk-in
- Prepare event proposals, budgets and presentation
- Coordinate and finalise event-related arrangements with suppliers, contractors and partners
- Attend to clients and their event needs
- Plan scope and format of events
- Work with team members to ensure the smooth running of an event on-site
- Provide exceptional customer service and safety standards
- Work with the Management Team to promote and execute special events
Receptionist
- Master the point-of-sale, online booking and event scheduling software.
- Handle and assist customers with the waiver policies.
- Prepare customer for jumping by issuing wristbands and Katapult socks
- Explains basic rules of the courts to all customers and direct them to watch the Safety Video
- Performing cashier duties at reception and cafe as and when needed
- Store opening and closing duties, cash audits, loss and prevention.
- Control cash and other receipts by adhering to cash handling and reconciliation procedures in accordance with facility policies, procedures and banking in process
- Compile and balance cash receipts at the end of the day/shift.
- Ensure that all guests feel welcome and are given responsive, friendly and courteous service at all times.
- Resolve customer complaints.
- Ensure that all food and products are consistently prepared and served according to the facility’s serving standards.
General Administration
- Understand completely all policies, procedures, standards, specifications, guidelines and training programs.
- Inventory management and ordering for trampoline related merchandise and f&b
- Ensure that all products are received in correct unit count and condition
- Prepare all required paperwork, including forms, reports and schedules in an organized and timely manner
- Ensure that all equipment is kept clean and in excellent working condition through personal inspection and by following the facility’s preventative maintenance programs
- Participate in jump area and cafe area cleaning as and when needed
- Provide suggestions and advice to the Manager as and when needed
- Other duties as assigned by Operations Manager, Management or needed by the business.
Qualifications:
- Minimum Education: O Levels
- Is passionate about planning and organising all aspects of an event to make it a success
- Likes creating work processes that gets the job done
- Enjoys the challenge of thinking on your feet and solving problems
- Organization, follow-up, and multitasking skills are a must
- Meticulous and possesses decision making ability
- Solves problems effectively and performs well under stress
- Ability to work nights, weekends, and holidays
- Previous experience with organizing events e.g. children’s birthday parties and team building events
- Experience with employee scheduling and cash handling
- Has basic proficiency in Microsoft Word, PowerPoint and Excel
- First Aid and CPR Certification (or willingness to obtain)
- Must be able to work independently as well as a dedicated team player
