Job schedule:

WEEK PROGRAMME

Week 1 Speaker pack preparation and sending

- including speaker letter, indicating time and topic of speech

- administrative form on social activities

- hotel reservation form

Week 2 Compiling of conference workbook base on conference programme

- laying out of conference topics

- speakers’ biographies etc

- evaluation form

Week 3 Sponsor pack preparation and sending

- including project team’s contact details

- event structure, setting up timing, badge collection, dismantling schedule

- sponsors’ entitlement

Panel slide, interval slide and sponsor slide preparation

- Laying out of slides for the conference proceeding

Week 4 Badge preparation and printing

- Using database to merge badges

- Printing and sorting badges

- For speakers, exhibitors, delegates, organizer and audio video crew

Delegate signing in list preparation

- Using database to merge sign in listing

Week 5 Housekeeping communication to speakers, sponsors, delegates

- To inform external customers on event schedule, social activities, logistics timing

- To remind speakers on outstanding biography, presentation slides or white paper

- To remind sponsors on outstanding forms, corporate inserts

Compiling of Conference Chairperson’s brief

- Programme, speakers’ biographies and housekeeping notes

Compiling of Conference Manager’s folder

- Programme, speakers’ biographies and speakers’ list

Compiling of Sponsorship Manager’s folder

- Programme, exhibition floorplan and exhibitors’ list

Week 6 On-site Registration

- Compiling speakers’ rooming/ housing list

- Including flight arrival / departure details

- Room type preference

Post event compilation

- Posting of speakers’ presentation materials online

- Tabulating of conference evaluation results



Week 7 Speakers’ rooming list

- Compiling speakers’ rooming/ housing list

- Including flight arrival / departure details

- Room type preference

Week 8 First Review

Week 9 Project – Event Manage a Masterclass

- Event brief: 1 masterclass leader, 15 delegates, 1 day masterclass

- Liase with masterclass leader on logistics arrangement

- Liase with venue on timing, F&B, seating arrangement (event order)
