Overview of position:
Support business through commercial coordination and
communication
Manage sales front office duties :
customer information and order booking
Manage back-office information flow : deal with
administrative aspects of order treatment
Maintain a high level of service with distributors and
end-users
Ensure a fast execution of the business cycle from order
receipt to invoicing, in order to maximize monthly billing
Primary Responsibilities:
Order processing.
- Ensure accuracy of data in the system. Both Master data set (account creation), and regular entries: Sales order, PO, etc.
- Maintain the activity filing (hard and soft copy) as per company policy.
- Propose solutions to reduce the entry mistakes. Reduce them continually
- Check discrepancies on prices or quantities. Manage them, and make suggestion to prevent new occurrence.
- Report logistic problems, propose curative actions to ease future transactions.
- Eliminate duplication of work. Prevent any data from being entered twice.
Support to the distributors and end-users
- Keep the level of service high with distributors and end-users.
- Demonstrate Pro-activeness and problem solving mindset.
- Set priorities and manage distributor enquiries in a timely manner. Provide price quotations, lead-time, stock position, and other information with no delay.
Secondary activities :
Adherence and Implementation of company processes.
- Ensure adequate use of company systems. CDS, SAP, BAAN.
- Ensure that the Community Library is kept organized and up-to-date
Reporting
- Provide monthly reports based on finance data (Customer orders, backlog, and billing, over dues) and sales additional inputs.
- Report relevant information regarding markets and distributors activity.
- Report visit reports into CDS.
Marketing and Sales actions
- Coordinate with Sales Admin Manager to facilitate the execution of marketing plan and address distributors request
- Provide assistance for seminar organization, product launch and other events on a need basis.
- Answer to Website enquiries.
General assistance
- Provide support for the shipment of parcel, samples and letters.
- Provide assistance on need basis.
