Job Description

Preparing & sending out speaker letters with hotel reservation form  

Preparing & sending out sponsor manuals with order forms  

Understanding & drawing floorplans    

Compiling & laying out conference topics, speakers’ biographies & photos -         Preparing evaluation form

Compiling speakers’ rooming list including flight arrival / departure details    

Preparing slides for onsite use    

Housekeeping communication to speakers, sponsors, delegates -         To remind speakers on outstanding biography, presentation slides or white paper -         To remind sponsors on outstanding forms, corporate inserts -         To inform external customers on event schedule, social activities, logistics timing  

Compiling programme, speakers’ biographies and housekeeping notes  

Preparing, printing and sorting out badges for speakers, exhibitors, delegates, organizer and suppliers -  Printing sign in lists for speakers, exhibitors and delegates  

Delegates / exhibitors / speakers registration -   Attending to customers requests  

Posting of speakers’ presentation materials online -   Speakers reimbursement -   Suppliers invoices / updating of expenses  

 

WEEK PROGRAMME Week 15-17 Project  – Event Manage a Masterclass -         Event brief: 1 masterclass leader, 15 delegates, 1 day masterclass -         Liase with masterclass leader on logistics arrangement -         Liase with venue on timing, F&B, seating arrangement (event order) -         Liase with printer on masterclass workbook printing   Week 18 Liason with AV supplier -         Preparing of event brief to AV -         Gathering quote from AV   Liason with Venue -         Gathering seating plan -         Gathering menus (tea break and lunch)   Week 19-20 Event order preparation for Project -         Minimum guarantee on meeting package -         Signage -         Registration arrangement -         Seating arrangement -         Setting up/ dismantling schedule   Week 21-22 Pre Event Preparation -         Housekeeping -         Badges -         Workbooks -         Delegate signing list   Week 23 Execution of Project  - Masterclass   Week 24 Post event of Project / Final Review
