Job Description
JOB DESCRIPTION

Key Responsibilities:

  • Attend to all correspondences and provide assistance to SPEC BOD and SPEC members
  • Plan and coordinate AGM and BOD meetings including liaising with BOD members, gathering necessary information and preparing essential documents.
  • Assist in minutes-taking for AGM and BOD meetings including prepare minutes for approval on time.
  • Follow up on action steps after BOD meetings and update GM/BOD of progress.
  • Prepare and provide regular work summary report and necessary data to management.
  • Conduct regular validation of SPEC membership database and maintain up to date status.
  • Handle enquiries and administrate all matters pertaining to SPEC membership including issuing new membership and termination.
  • Handle enquiries and administrate all matters pertaining to insurance for SPEC members including insurance renewal and claims.
  • Conduct regular membership surveys, compile findings and develop follow up plans based on survey findings.
  • Marketing of monthly workshops/events/activities through EDM & cold calling to achieve set KPIs
  • Plan and handle pre and post administration of SPEC monthly events, workshops and activities.
  • Maintain proper filing system of all documents to ensure good traceability.
  • Monitor and follow up on payment by clients/participants and payment to speakers/trainers.
  • Maintain up to date records on the status of all works and projects.
QUALIFICATIONS

Requirements:

  • Diploma or relevant qualifications
  • Excellent Customer Service skills
  • Good Administrative skills
  • Able to work independently
  • Proficient in English language
  • Proficient in MS Office application skills
  • Able to commit at least 4 days a week, 7 hours a day
