Title: Intern – Office Assistant
Reports to: Regional Director and Asia Field Assistant
Based in: Singapore
Role:
The Office Assistant’s role is to provide administrative, marketing and operational assistance to the Asia Field Assistant and the teams in Asia.
Key Responsibilities:
Office Administration
· Meets with the Asia Field Assistant daily to discuss the daily and weekly priorities
· Arranges meetings in Singapore and other project countries
· Assists with research on companies and expansion countries when needed
· Assists the communications department when producing regional marketing PDFs – collect logos, photos, etc
· Organizes delivery of books to international receivers
· Coordinates with the operations department when an urgent delivery needs to be made
· Keeps track of stationary and book supplies in the office, warehouse and printers.
· Other administrative duties
Conference Assistance
· Supports the Asia Field Assistant in researching and finding new conferences in Asia
· Supports the Asia Field Assistant in preparing the deliverables for conferences in Asia
· In charge of Academic Programme to create partnerships with OBG and Universities in Singapore and signing up students
· Participates in conferences where OBG is a media partner and assists with the OBG stand. Contacts with the event organizer to ensure the smooth running of the events.
Field Assistance
· Assists the teams with their research (finding companies within various industries, finding out contact names, researching companies’ corporate and financial information, etc)
· Assists the teams with marketing pdfs creations, collection of logos, images, etc
· Assists the teams with database entry
· Provides additional assistance to teams when organizing launches, MOU signing events, etc.
Key Requirements:
· Excellent written and spoken English
· Strong planning, organization and administrative skills
· Good communication skills, strong customer orientation with excellent phone etiquette, able to handle high volume calls
· Experience in the sales support or customer relations operations – not must but a strong asset
· Capability to complete job with accuracy
