Personal Assistant Duties
- Devising and maintaining office systems, including data management and filing 
- Arranging travel, visas and accommodation for the local team 
- Preparing expense reports for the Assistant BGM as well 
- Take notes, dictation or minutes at meetings or to provide general assistance during presentations 
- Screening phone calls, enquiries and requests, and handling them when appropriate 
- Meeting and greeting visitors at all levels of seniority 
- Organising and maintaining diaries and making appointments 
- Dealing with incoming email, faxes and post, sometimes corresponding on behalf of the Assistant BGM 
- Carrying out background research and presenting findings 
- Producing documents, briefing papers, reports and presentations 
- Organising and attending meetings and ensuring the Assistant BGM is well prepared for meetings 
- Liaising with clients, suppliers and other staff 
- Other administrative tasks when appropriate and necessary - Sales Administration Duties 
- Work closely with the Assistant BGM on Sephora to help disseminate information and coordinate sales-related activities (e.g. new product sell-in, sales incentives, store openings, etc) with the relevant markets 
- Work closely with the Retail Manager & Assistant Manager, Academy & Pro Business to help disseminate information and coordinate sales-related activities (e.g. new product sell-in, sales returns, etc) within the Pro Loft - Ad Hoc Projects
