Job Description

·       Printing contracts from the Agiblocks system for respective traders approval.

·       To ensure sales and purchase sent out to customers/suppliers on time

·       Managing outgoing purchase and sales contracts.  Assist to create proforma invoice, LC template for contracts.

·       Make sure contracts are countersigned by customers/suppliers.  Upload the signed documents in the system

·       Suppliers SO, Customers PO cross checked with the contracts sent and countersigned by trader’s in charge

·       To ensure sales contracts tally with suppliers purchase contracts

·       Create commission contracts

·       Create sales / purchase contracts

·       Create hard copies contract folders for logistics department, scan soft copy contracts, proforma invoice, LC template into the system

·       Generate weekly sales and purchase report from the system.

·       Update contract register - daily

·       Make sure internal and external customers’ data updated in the computer systems.

·       Updating and maintain clients and agents database in agiblocks systems.

·       Checking courier receipt sent tally with the invoice (DHL, Fox, etc)

·       Managing sample register – update all sample coming in and going out

·       Monitor sample received – to inform trader concern

·       Keep track of sample sent from office or direct from other office received by customers

·       Arrange samples for lab testing

·       Answer phones in polite manner

·       Direct calls and respond to inquiries

·       Sorting and distributing mail, faxes and other correspondence.

·       Maintain the tidiness of the company.
