Job Description

Specific responsibilities of the position

Reporting to the Head of Marketing & Sales and the Partnerships and Production Manager, the individual will be responsible for coordinating the logistics and reporting for our corporate events, trainings, various sponsors and manage our online communication platforms.  The intern will need to liaise regularly with ICC Headquarters in Paris (Events and Communications Departments) as well as our appointed public relations firm.

Specific duties include:

·         Assist with preparing budgets and provide periodic progress reports for each event project.

·         Keep track of event finances including cheque requests, invoicing, and reporting.

·         Coordinate appointments and visits to see our space, and scheduling of events on the ICC Academy calendar.

·         Prepare and modify event contracts as requested

·         Assist with negotiations for space contracts and bookings of event space, arrange F&B logistics, order supplies and audio-visual equipment, make travel arrangements, order event signs, and ensure appropriate décor (colour schemes, etc.) to meet the quality expectations of the ICC Academy.

·         Aggressively gather information on each project to achieve quality event productions.

·         Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.

·         Create and revise room layouts for each event.

·         Propose new ideas to improve the event planning and implementation process.

·         Propose an annual Communications Plan for the ICC Academy and liaise with the ICC Academy’s appointed public relations company.

·         Serve as liaison with vendors on event-related matters.

·         Assist with managing on-site production and clean up for events as necessary.

·         Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.

·         Handling of social media platforms (Admin role), coordinating and consulting with ICC Headquarters – Facebook, YouTube, Twitter, etc.

·         Liaising with ICC Headquarters for validation of communication content for press releases, event promotion and social media posts.

·         Coordinate with Head of Marketing and Sales for the production of e-Newsletters.

Experience and expertise

Within the context of the role described above, the ideal applicant will be someone who has the following key capabilities:

·         At least 1 years’ experience in coordinating large scale corporate events

·         At least 1 years’ experience in corporate external communications

·         Excellent communication skills, including writing, proof reading skills, and speaking.

·         Ability to manage multiple projects and work assignments from a variety of staff and volunteers.

·         Excellent interpersonal skills both in person and by phone, with high professionalism.

·         Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.

·         Proficient with existing and emerging social media platforms.

The position will require outstanding oral and written communication skills since he or she has to coordinate and pass across information to the sales and partnerships development team as well as all relevant stakeholders/sponsors. Proficiency in computer application skills is essential.

Language requirements

The candidate must speak, read and write English fluently. Knowledge of other languages would be an asset.

Educational requirements

The candidate must have a degree in an appropriate field of study such as mass communications or marketing.
