The role of an administration clerk is often boring and repetitive. Staff turnovers are very high for these sectors. Nevertheless, it also offers great learning opportunities for people that are new to the working environment. After much consideration, I would therefore like to offer internship program placement in my company on a permanent collaboration. Below is a brief description of what my expectation of an administration clerk has to do/ or will learn:
I am looking to employ a secretariat/ administrative personnel, with the following work scopes:
Handling daily transactions such as general ledgers, account payable and receivables
For example, petrol receipt is to be placed under transport expenses, A4 paper purchases are to be placed under stationeries expenses etc
Preparation of Delivery Orders, Invoices and Purchase Orders
Using Accounting software MYOB to generate DO, INV and PO
Preparation of payrolls, reimbursement and claims
Using Accounting software MYOB to generate payslip, reimbursement and claims
Daily collection of letters from the mail box and coordination with freight forwarder for arrival of goods and delivery
Learning what are the terms used in shipment like ETA, airway bill, BOL, Import Tax, LCL, FCL, DTD ec
Weekly trip to the bank for banking transactions such as TT, drop cheques or draw cash
Understand banking procedures such as telegraphic transfers, withdrawals and deposits
Handling phone calls, goods arrival checking and taking down messages
Learning short hands, phone etiquette, call transfers/ holding and tele-conferencing
Reception of visitors and clients such as preparation of the conference room, getting the drinks ready etc
Presenting oneself and 1st impression skills
Monitoring washroom cleanliness, top up hand soap, napkins and tissues when they deplete
Undertaking boring routine tasks in the company
The personnel should meet the following criteria
Able to convey in English and Mandarin (Writing, typing, speaking and understanding)
Frequent webchats in English or Mandarin language over Skype, QQ or email thus improving typing speed and vocabularies
Basic computer skills such as replying/ forwarding emails, printing/ scanning documents and online voice/ video chats via Skype, QQ, Viber, whatsapps etc
Learning Microsoft Words, Excel, Powerpoint, Visio, Paint, Outlook, Google portals, Internet Explorer and Windows 7
IT savvy eg know how to use smart phones to send messages, emails, surfing internet, search engines etc
These shouldn't be a problem with youngsters nowadays
The employment terms provided as follows:
Monday to Friday 0900 to 1800hrs, off during weekends and public holidays
Salary S$1500 with CPF contribution (For permanent staff), up to 1/3 for internship
Minimum internship placement 3 months
Preferable to stay near the office
Preferable to be female
We have an auditor that comes by every month to perform GST submission to the IRAS thus the person must be able to tabulate the GST G5/ G7 amount for the auditor to audit and submit
We have a book keeper that comes by every week to handle item 1 above thus the person just need to classify the above item 1 in a presentable manner, with relevant inputs onto the accounting software.
We have a weekly cleaner that comes by every week to clean up the office thus the person just need to ensure the cleaner does her job
