Job Description

ACE is looking for Finance and Operations personnel to fill the role at the backbone of the company.

Your Tasks
- Carry out operational duties, including but not limited to invoices, purchase requisitions, purchase orders, etc. and where necessary, ensuring accurate input of such records into financial software tools as decided by the Management
- Collaborate with the Company's appointed vendor for Financial Accounting & Reporting, Tax Reporting, CPF and Payroll disbursements where necessary
- Collect and receive payments due to the Company for rental and/or other services while maintaining accurate records for such receipts
- Prepare and maintain accurate administrative records, including but not limited to Minutes of Meetings, Tenancy Agreements, Rental of Space etc
- Manage and maintain the Company's facilities and equipment, including but not limited to Asset Tagging & Tracking, Facilities Reservation, as well as ensure the cleaning of such facilities and equipment
- Coordinate and schedule start-ups for the indoor start-up showcase, including but not limited to publicising, coordinating to ensure a continuous stream of start-ups with appropriate content
- Manage the bookings for the rooms and facilities
- Management of the JTC LaunchPad@one-north Welcome Centre
- Handle all walk-in guests at the ACE Ideation Centre and online queries
- Manage and maintain the fixed desks space and tenants' queries including but not limited to utilisation, communication and allocation
- Handle all General Administrative matters pertaining to the Company, including but not limited to matters relating to the Board of Directors, Company Secretary, and the Company's appointed Auditors, maintaining a satisfactory audit posture at all times
- Provide data entry administrative support, assist in scanning, photocopying and filing of documents. Assist to prepare monthly reports as well as other ad-hoc duties.
- Prepare and maintain accurate administrative records, including but not limited to Minutes of Meetings, Rental of Space, Tenancy Agreements, Board Approvals etc - Any other duties as assigned
Requirements
- Diploma/Degree in any field
- Excellent interpersonal and communication skills, professional and problem solving demeanour
- Ability to work independently and also collaborate as a team to achieve shared outcomes
- Interest in the startup/entrepreneurial ecosystem preferred
