We are looking for an Assistant in supporting a private run Hotel in Bali. Worklocation is in Singapore. Our aim is to provide personalized experience to our guest from the first impression until defined post-stay events. They come for relaxation, to enjoy Bali and the nature around with their friends or families.
The Hotel is called Enigma Bali Villas and opened in 2010. It's a private luxury Villa estate on the island of Bali. We are listed in all public OTA's (Expedia, Agoda, Booking.com, airbnb, ...). The Hotel Owner and Manager is looking for an Assistant.

You will support the Owner/ Manager in the task of running the social media marketing campaigns and to assist the back office for the Hotel. This includes
· Supporting booking process,
· Guest communication (mostly via e-mail),
· Online Travel Agency (OTA) management
· Promotion handling, (posting in FB, Instagramm, Twitter). Coming up with own ideas to makre marketing vor the Villa Estate
· Social Media / Writing newsletter,
· Creating promotional print material for event's with any graphical software (Adope,...) & support promotional activities
Details:
Supporting booking process: From inquiries until the final booking, followed by the payment process and completed by a feedback loop, your job is to own this process with each client from beginning to the end. All tasks like e-mail writing to answer questions, interacting with the OTA process and using tripadvisor for the feedback rounds would be tasks done by you.
Guest communication: Pre-, while- and post stay Questions are handled by you. Pre-communication are mostly organizational questions regarding hotel facilities/services including all activities for payment collection, while-stay is to call up the guest to have a communication regarding satisfaction of their stay, post-stay communications is to ask officially for their feedback via trip advisor, to sent notes at anniversaries and special occasions.
OTA Management: As the Hotel is on several OTA machines your task comprises to keep price structure, cancelation information, Hotel content (text,Pics) consistent throughout all platforms. Support also in establishing new OTA channels
Bookeeping: Keep all records of income and spending in one place. Considering all elements like tax, commissions, operational costs, villa rates, etc.
Investigating: Several tools are out there which can support our day to day operation. Investigation on the internet which tool could improve our efficiency in terms of budget and time should be scanned trough.
Social Media / Newsletter: Two times per month Enigma Bali Villas sent newsletters out about Bali or any other interesting topic. Your task is to brainstorm together with the owner to come up with good ideas. Together with the owner we will than write the articles and put them on waiting list so they go out as planned. Same for social media postings.
Promotional Print Material: You will support in brainstorming ideas with Owner and you put ideas into a graphic software file to make it print ready.
Skills & Experience
- Enthusiastic driver is a must to promote and fill occupancy of the Villa Estate.
- Very good written/oral communication in English
- Comprehensive knowledge of MS Word and Excel and especially in any graphic software
- Comprehensive ability to search and investigate and make conclusions on the www
- Good telephonic manners
- Excellent in following up task and not to leave open ends
